Stock and locations
Set up the places you hold stock and review or correct stock quantities by location.
The Stock & Locations page lets you record the places where you hold stock, such as a warehouse, a shop or a supplier, and see how much of each product is held at each one. You'll find it under Strengthen → Commerce → Stock & Locations.
Before you start
Stock & Locations is part of Catalogue. It only appears if your package includes stock locations or stock reports, and your role has permission to view them. What you see on the page depends on your permissions:
- If you can view locations, you'll see the Locations panel.
- If you can view stock reports, you'll see the Stock report panel.
- If you can create locations, you'll see Add location.
- If you can update locations, you can edit locations and change quantities in the report.
If the page or a panel is missing, ask a subscription administrator to check your package on Package and add-ons and your permissions on Users, teams, groups and permissions.
The Locations panel
The Locations panel lists every stock location in name order, showing its name, its code and whether it is Enabled or Disabled. If there are none yet, it shows No results.
Adding a location
- Go to Strengthen → Commerce → Stock & Locations.
- In the Locations panel, select Add location.
- Enter a Name, for example "Main warehouse".
- Enter a Code, for example "MAIN". Each location needs its own code, so you can't reuse a code that another location already has.
- Choose a Status: Enabled or Disabled. New locations start as Enabled.
- Select Save. The location appears in the list. Select Cancel to close the form without saving.
Editing a location
- Select Edit on the location's row. The form opens below the list, headed Edit.
- Change the Name, Code or Status.
- Select Save.
There is no delete option for locations. If you no longer use a location, set its Status to Disabled.
The Stock report panel
The Stock report panel shows the stock recorded against your locations.
At the top you'll see three totals:
- Quantity: the total quantity across everything in the report.
- Products: how many different products have stock recorded.
- Locations: how many locations have stock recorded.
Below the totals is a list with one row for each product at each location, showing the product's SKU, the location's name and the quantity. The report shows 50 rows at a time. When there are more, use the previous and next arrow buttons at the bottom of the panel to move through the pages.
A product only appears in the report once it has a quantity recorded at a location. Locations with no stock recorded don't appear in the report, although they still appear in the Locations panel. The page has no option to add a product to a location; it lets you review and correct quantities that are already recorded.
Correcting a quantity
If you have permission to update locations, each quantity is shown as an editable box. Quantities can include decimals.
- Find the row for the product and location.
- Type the new quantity into the box.
- Select Save on that row.
Each row is saved on its own, so select Save on every row you change before leaving the page. The totals refresh after each save.
How this relates to a product's stock field
Products created with the default template also have a Stock field on their Price and Stock tab, which drives the Out of stock count on the Products page. That field is recorded on the product itself, separately from the location quantities on this page, so the two figures won't necessarily match. If they disagree, check both places. Troubleshooting
I get an error when saving a location
Check that both Name and Code are filled in and that no other location already uses the same code.
A product is missing from the Stock report
The report only lists products that already have a quantity recorded at a location, and this page can't add new ones. If you expected a product to be listed, contact support.
I can see quantities but can't change them
Changing quantities needs permission to update stock locations. Ask a subscription administrator.
