Today – tasks, activities and alerts

Use the Today home page to see what needs you, and work with tasks, activities, alerts and running background tasks.

Today is your home page in the Structurell Portal. It pulls together what needs your attention across every service in your subscription, so you can start each day in one place. Under Today in the left navigation you will also find Tasks, Activities and Relevant findings and assurance alerts. This article explains each of them, plus the Running tasks list in the header.

Before you start

What you see on Today depends on your subscription's package and your permissions. For example, Tasks and Activities only appear if your subscription includes CRM and you have permission to view tasks or activities. Cards and sections for other services only appear when those services are part of your subscription and you can access them.

The Today home page

Select Today in the left navigation to open it. The page greets you by name, for example "Good morning, Sam", with the line "Here’s what needs you across every service today."

Summary cards

Along the top you see a small number of summary cards. Depending on your services, these can include:

  • Needs attention: how many items need you, broken down by service. The card is coloured by the most serious item.
  • My tasks due: tasks assigned to you that are due today, with a count of any overdue.
  • Hours this week: time you have logged this week, compared with the same point last week.
  • Money due: amounts due, with a note of anything overdue.
  • Critical findings, Sites down or Conversations awaiting reply, when there is something to show.

Cards with nothing to report are hidden, so a quiet day shows fewer cards.

Sections

Below the cards, sections give more detail. Depending on your services, these can include:

  • Needs attention: the most important items across your services, most serious first. Select View all to open Today → Tasks.
  • My day: your tasks and follow-ups due today, marked Due today or Overdue.
  • This week: your logged time for the week.
  • Pipeline: open deals at each stage of your pipeline. See Pipelines.
  • Money: amounts due and overdue.
  • Recently changed: the latest changes across your services.
  • Setup: things still to set up in your services.

Select an item to go straight to the related page, for example the task or organisation it belongs to.

Tasks

Today → Tasks lists your CRM tasks, so you can keep track of follow-ups and to-dos linked to the organisations and contacts they relate to. Along the top are views for My Tasks, Not Started, In Progress, Completed and Cancelled; selecting one opens the full task list in Grow → CRM → Tasks with that filter applied.

Create a task

Create new tasks from Grow → CRM → Tasks:

  1. Go to Grow → CRM → Tasks and select New.
  2. Fill in the task details, including its Status: Not Started, In Progress, Waiting, Blocked, Completed or Cancelled.
  3. Under Links, choose the Entity Type (Organisation or Contact), then choose the organisation or contact the task relates to.
  4. Choose who owns the task.
  5. Save the task.

To update a task, open it from either list, change its details, such as setting the status to Completed, and save. Tasks you own that are due today appear in My day and My tasks due on the Today page. Overdue tasks also appear in Needs attention.

You need permission to create tasks as well as view them. If you do not see New, ask your subscription administrator. See Users, teams, groups and permissions.

Activities

Today → Activities lists the CRM activities recorded for your subscription. Select New to record a new activity, fill in its details and save it. For more on working with organisations and contacts, see Organisations and contacts and CRM overview.

Relevant findings and assurance alerts

Today → Relevant findings and assurance alerts gives a summary, service by service, of what needs attention across the services you use, such as website monitoring, content, catalogue and CRM. For the underlying tools, see Audits and findings and Monitoring.

Running tasks in the header

The Running tasks button in the header is separate from Today → Tasks. It shows background work that is in progress for your subscription, such as a sync with a connected service. If nothing is running, it shows "No running tasks".

Select the button to see each running task with:

  • its name, type and current step, plus how many steps are left
  • a status and a progress bar with a percentage
  • a list of its steps and the status of each one

To stop a task that is still running, select Cancel if it is shown. In the confirmation window, select Cancel again to stop it, or Dismiss to leave it running. The current operation finishes safely before the task stops.

If a task fails, it shows Needs attention with details of what went wrong. Select Dismiss to remove it from the list. For problems with connected services, see Troubleshooting connections.
