The CRM overview
Find your way around the CRM pages in Grow and read the CRM overview, including the portfolio spend forecast.
Structurell CRM keeps track of the organisations and people you work with, the deals you are chasing, the tasks your team needs to do, the leads your website brings in and, if you use it, your recruitment work. The CRM pages live under Grow in the left-hand navigation. This article explains where everything is, what the Overview page shows and how the spend forecast figures are worked out.
Before you start
- CRM must be included in your subscription's package. Some parts are separate features or add-ons, such as lead forms, Prospect Intelligence and Recruitment. See Package and add-ons.
- What you see depends on your permissions. If a page or button is missing, ask your subscription administrator. See Users, teams, groups and permissions.
- When CRM is first added to your subscription, you'll see an Initialising Structurell CRM page while it is set up. It moves you on to the CRM once setup has finished. If CRM is no longer active on your subscription, you'll see a Structurell CRM Expired page instead.
Where the CRM pages are
Select Grow to open a summary of everything in Grow that you have access to. The CRM pages sit under two headings.
Signal holds the pages you use day to day to find and work with customers:
- Prospect Intelligence: evidence about organisations and prospect research. See Prospect intelligence.
- Organisations and Contacts: your CRM records, including deals. See Organisations and contacts.
- Campaigns, Lead forms and Performance. See Campaigns, Lead forms and lead generation and Performance.
CRM holds the CRM's own tools:
- Overview: the page described below.
- Tasks: follow-ups and to-dos, linked to organisations and contacts. See Organisations and contacts.
- Pipelines: the stages your records and deals move through. See Pipelines and stages.
- Lead Generation: the leads your forms have captured. See Lead forms and lead generation.
- Recruitment → Candidates and Recruitment → Vacancies: only shown if your subscription has Recruitment. See Recruitment: candidates and vacancies.
Your CRM tasks and activities also appear under Today. See Using Today. CRM settings, such as custom fields, email accounts and stages, are covered in CRM settings.
What the Overview page shows
Go to Grow → CRM → Overview.
Portfolio Spend Forecast
The top panel adds up the deals recorded against all of your organisations. It shows four figures, in pounds sterling:
- Committed Spend: the total Final Price of every won deal.
- Min: the total minimum value of all open deals.
- Likely: for each open deal, the midpoint between its minimum and maximum value, multiplied by the probability of the stage the deal is in, all added together.
- Max: the total maximum value of all open deals.
A few rules decide what counts:
- Only deals that have a stage are counted. A deal with no stage is left out of every figure.
- A deal in a final stage with a probability of 50% or more is won. With the standard stages, that is Won.
- A deal in a final stage with a lower probability is lost, and is left out completely. With the standard stages, that is Lost.
- An open deal only adds to Likely if it has both a minimum and a maximum value.
Stage probabilities come from your deal pipeline. See Pipelines and stages.
If the panel shows An error has occurred, select Retry.
CRM summary
Below the forecast, the CRM summary shows:
- How many organisations and contacts you have.
- Setup tasks: if you have no organisations or contacts yet and you are allowed to create them, you'll see a task such as Set up Organisations. Select it to go straight to the list.
- Latest items: the organisations and contacts most recently created or updated that you can access.
- Latest log entries: recent recorded CRM actions. You only see this if you have permission to view the CRM log.
Select Refresh overview to reload the figures.
Tips
- The overview covers every organisation. To see the forecast for one organisation, deal by deal, open the organisation and go to its Deals tab.
- The overview is a quick check. For detailed lists, filters and exports, use the Organisations and Contacts pages.
