The asset library is where your subscription keeps its files. Images, videos, PDFs and other documents you upload live in **Assets → Library**, and you can reuse them anywhere Structurell asks for an image or file, such as a page, a post or a product.

## Before you start

- Assets must be included in your subscription's package. See [Package and add-ons](/account-and-access/package-and-add-ons).
- **Assets** and **Library** are shown to subscription administrators, and to users who have been given access to assets. Ask a subscription administrator if you can't see them. See [Users, teams, groups and permissions](/account-and-access/users-teams-groups-and-permissions).

## What you see in the library

Open **Assets → Library** to see every file in your subscription. Above the list, summary tiles show:

- **Files**: how many files are in the library.
- **Storage used**: how much space your files take up, split into **Images**, **Documents**, **Video** and **Other**.
- **Added (7d)**: how many files were added in the last seven days.

Every asset is one of four types: **Image**, **Video**, **File** or **PDF**. Select a file in the list to open it.

## Upload a file to the library

1. Go to **Assets → Library** and select **Upload**.
2. On the **Choose** tab, pick the type of file in **Attribute Set**: **Image**, **Video**, **File** or **PDF**.
3. On the **General** tab, drag your file onto the upload area or click it to browse. The file is uploaded straight away and a preview appears.
4. Enter a **Name** for the asset.
5. Optionally, on the **Governance** tab, record an **Owner** and a **Retain Until** date for your records.
6. Select **Save**.

Details such as the file's size, width, height and extension are filled in for you and can't be edited. Images wider or taller than 1,024 pixels are scaled down to fit within 1,024 pixels when they're uploaded, and Structurell creates a small thumbnail for the list.

To change an asset later, open it from the library, make your changes and select **Save**. You can also leave comments on an asset for your team.

## Add a file from another form

Image and file fields look the same wherever they appear in Structurell. Each field has a preview area and a set of buttons beside it:

- **Upload image** or **Upload file**: choose a file from your computer. You can also drag a file onto the field. When it's over the field you'll see **Drop Here**.
- **Choose image from assets** or **Choose file from assets**: pick something you've already uploaded. This opens the **Choose from assets** window, which only lists files of a type the field accepts. Select **Select** next to the one you want.
- **Remove file**: clears the field.

Once a field has a file, the upload button changes to **Upload new image** or **Upload new file** so you can replace it. The file types a field accepts are listed underneath it. Some fields, called galleries, hold several images. Use **Upload images** or **Choose images from assets** to add more than one, and drag the thumbnails to reorder them; the first image is the main one.

## When a file you add to a form is kept

When you upload a file into a field, for example the image on a page, a post or a product, Structurell starts uploading it as soon as you select it. While it works you'll see **Uploading** and **Preparing preview**, and then the preview appears.

At this point the file is held temporarily. It isn't attached to the record yet and it doesn't appear in your library.

- When you save the form, including saving it as a draft, the file is attached to the record and added to **Assets → Library** as a new asset. From then on you can reuse it anywhere.
- If you leave without saving, the file isn't attached to the record and it isn't added to your library. If you have unsaved changes, Structurell warns you with **You have unsaved changes. Leave this page?** first, so you can go back and save.
- If you use **Choose image from assets** instead, nothing new is uploaded. The field simply points at the file already in your library, so you don't end up with duplicates.
- Removing a file from a field and saving only detaches it from that record. The file stays in your library.

If you upload several files to the same field before saving, only the last one is kept when you save.

## Troubleshooting

- **This subscription has used its storage allowance.** The upload was refused because your files have reached your package's storage limit. Remove files you no longer need, or add storage to your package. See [Package and add-ons](/account-and-access/package-and-add-ons).
- **There was a problem processing this file.** The upload didn't finish. Check your connection and try the file again, or try saving it in a different format.
- **Unable to use the selected asset.** The file you picked from the library isn't a type this field accepts. Choose a file that matches the types listed under the field.
- **Unable to load the file. Please check your file permissions.** Your computer couldn't read the file. Check you have permission to open it, or copy it somewhere else and try again.
- The **Choose from assets** button is missing. It only appears on fields that list the file types they accept, and not on the asset form itself.
- A file you added to a page isn't in the library. It's only added once you save the page, so add it again and select **Save**.
